IT Intern

For our IT department, we are looking for a GLPI Assets intern. The goal of this internship is to set up and implement a complete asset management process within GLPI. This includes physically labeling all IT assets (such as laptops and monitors) with a unique tag and managing them digitally in the system.

In addition, a standardized issuance process will be developed, where a PDF document is automatically generated for each asset handover, signed by the user, and stored in the system.

Project scope

1. Asset registration and tagging

   Establish a standardized naming convention (Asset ID structure) - Register and verify assets in GLPI - Generate and print barcode or QR labels - Physically tag all equipment - Test scanning functionality.

2. Setting up the asset lifecycle

   Define and implement statuses: in stock, in use, under repair, decommissioned - Set up processes for incoming equipment, issuance to users, returns, and repairs.

3. Developing an issuance process

   Create a standardized procedure for issuing equipment - Link assets to users - Integrate with service desk processes and tickets.

4. Generating issuance documents (PDF)

   Design a PDF template for asset issuance - Automatically generate a document with user details, asset information, date, and terms - Implement a process where the user signs the document, it is scanned and stored, and linked to the ticket and asset.

5. Automation and optimization

   Use plugins and automation within the system - Improve efficiency within first-line support - Automate processes where possible.

6. Documentation and handover

   Create clear work instructions - Document the complete process - Transfer knowledge to IT staff.

• All assets are registered and physically tagged

• A functioning and standardized asset management process

• A functional issuance process linked to tickets

• Automatically generated and signed PDF issuance documents

• Complete documentation of the system and working procedures
